03In the developing tray
In the morning a child is missing, at lunchtime Grandma does the collection, in the afternoon a mother asks about the outing. Each of these moments has its own place in Hello Kita. The screens develop one after another, and the red mark shows what matters.
The manager writes to all parents, to one group or just to the team. Posts can carry a picture, a PDF or a poll, and lists of what to bring fill up without anyone having to ask.
Parents report their child absent in three steps: which child, why and for how long. The phone stays free in the morning, and the group sees it straight away.
Who may collect today? The people are stored with photo, phone number and authorisation. At the door, the team checks the app instead of a folder.
The manager sets the pointer to green, amber or red and adds a note in their own words. Parents see at a glance how well staffed the Kita is today.
Choose the group, record the day. What happened is kept where the team will find it later, next to the nappy log and the accident book.
04Documentation
Documentation is part of everyday nursery life, and it takes time. Hello Kita puts the logs you keep anyway where staff and managers can find them. Pro adds Portfolio Studio: development folders for every child, designed on a computer or tablet and shared with parents if you wish.

06Pro exposure series
Pro is for Kitas that also want to run attendance, meals and staffing in one system. Hello Kita itself names what Pro replaces: the chat group, spreadsheets, paper meal slips, photo folders and separate attendance lists.
Children arrive and leave, and attendance is right in real time. Important for fire safety: the current status of all children and people present. A tablet terminal runs at the entrance without a PIN.
Parents order in a monthly calendar with a cancellation deadline. Credit is topped up via PayPal or booked in as cash, and the kitchen sees the numbers for each group with allergies and diet types. Statements and receipts are available as PDFs.
How many children are in the building and when, and how many staff are needed? Pro shows daily curves and a forecast for the next three days to help with staff planning.
Also in Pro: pop up messages with text and image, optionally also sent as a push notification to phones, your own branding with the Kita logo, all nine colour themes, a friends' association (Förderverein) with its own login, unlimited info modules, 20 GB of storage and priority support.

All images are original excerpts from the app with test data. Names such as Max, Ella or Kita Regenbogen belong to the demo, not to a real nursery.

09Data protection
Photos, health details and collection contacts are sensitive data. The Kita or its operator remains the controller, and Wasa Consult processes the data on its behalf. You conclude the data processing agreement under Art. 28 GDPR digitally when you register.
Each Kita sees only its own data, separated technically and logically.
Managers, staff and parents each see only what they are authorised to see.
Health details, emergency and collection contacts are kept separately, with their own permission checks.
Files are kept in protected storage and can only be reached when logged in to the app.
Wasa Consult only accesses your data when the Kita approves an access request.
Hello Kita uses no advertising or tracking cookies. Data is encrypted in transit.
When the contract ends, all of the Kita's data is deleted within 30 days. On request, Wasa Consult provides an export beforehand.

Hello Kita is designed so that the manager or the office can do the setup themselves. According to the provider, a Kita is ready to use in under 15 minutes: start the trial, set up your nursery, and invite staff and parents by link or QR code. If you would rather hand the setup over, you can book it from Wasa Consult for a one off €799.
Yes. Switching from Basic to Pro is possible at any time, and all your data is kept. So you can start with Basic for messages, absence reports and documentation, and add check in, lunch, Portfolio Studio or reports later. How the switch affects your billing is best clarified directly with Wasa Consult.
In Basic, Hello Kita runs in German and English. Pro offers twelve languages: German, English, Turkish, Arabic, Russian, Ukrainian, Polish, French, Dutch, Spanish, Portuguese and Romanian. Each family chooses its own language, and according to the provider no external translation service is used, so the content stays within the Kita.
When the contract ends, all of the Kita's data is deleted within 30 days, unless statutory retention obligations apply. On request, Wasa Consult provides an export beforehand. You can also delete content yourself while using the app, for example with the Tidy up Kita year function.
